Cancellation Policy

At Kalos Therapy, we understand that life can be unpredictable, and sometimes appointments need to be rescheduled or cancelled. To ensure that we can provide the best care for all our clients, we kindly ask that you provide as much notice as possible if you need to cancel or reschedule your appointment.

The following cancellation policy outlines our processes and procedures for cancellations and reschedules of appointments. By booking an appointment with Kalos Therapy, you acknowledge and agree to this cancellation policy.

Policy Terms

24-hour cancellation and reschedule notice: We kindly request a minimum of 24-hours notice for any appointment cancellation or reschedule. Failure to provide at least 24-hours notice will result in a cancellation fee, which will be the full cost of the appointment. Travel time is not included in this cancellation fee if the travel is not completed by the therapist.

If you need to cancel or reschedule an appointment: Please make contact via email or text to ensure we receive your message. If we are busy with appointments we may not get to a voicemail in time.

No-shows: If you fail to attend your scheduled appointment without any prior notice, it will be considered a “no-show”. This will incur a cancellation fee, which will be the full cost of the appointment. If our therapist travelled into the community for the no-show appointment, travel time may also be included in the cancellation fee, in addition to the appointment time.

If we charge a cancellation fee: Your therapist will do their best to complete billable work for the client, such as creating tailored resources, sending update emails to stakeholders, working on reports, and/or preparing strategies/resources for your next session.

If your therapist needs to cancel: We will try and provide as much notice as possible. Late-notice cancellations will typically only occur if the therapist is unexpectedly unwell. We will try and make contact via phone, email, and/or text to discuss rescheduling to a different day or different method if appropriate (e.g., changing a face-to-face appointment to a video chat).
